1. Who we are

Fleetkeur is a product of Medina Digital LLC, a Delaware LLC registered in the United States, operating as data controller under EU GDPR Art. 4(7) for personal data we collect from EU pilot applicants.

2. What we collect

• Pilot intake form: work email, company name, city, fleet size, vehicle mix, free-text pain-point description.
• Server logs: IP address, user-agent, timestamp, requested URL (retained 30 days for security & abuse).
• If you become a paying customer: billing name, billing address, last-4 of payment instrument (full payment data is held by Stripe; we never see your full card number).

3. Why we collect it (legal basis)

• Pilot intake form — legitimate interest (GDPR Art. 6(1)(f)) to evaluate pilot fit, plus consent for follow-up email (which you can withdraw any time).
• Server logs — legitimate interest for security, abuse-detection, and uptime monitoring.
• Billing — contractual necessity (GDPR Art. 6(1)(b)) to provide the paid service.

4. How long we keep it

• Pilot intake (form not converted to pilot): 90 days, then deleted.
• Active pilot / customer: for the duration of the contract plus 7 years (US tax / Dutch tax compliance).
• Server logs: 30 days.

5. Who we share it with

• Stripe (payment processor, EU + US): card data, billing details. Privacy at stripe.com/privacy.
• Brevo (transactional email, EU): pilot-intake auto-replies. Privacy at brevo.com/legal/privacypolicy.
• Hostinger (server hosting, EU): server logs & database. Privacy at hostinger.com/privacy-policy.
• We never sell your data. We never use your data to train a third-party model.

6. International transfers

Medina Digital LLC is US-based. Personal data of EU pilot applicants is processed under Standard Contractual Clauses (SCCs) for the limited purpose of pilot evaluation. Operational data (server logs, billing) is held in EU data centers (Hostinger, Stripe EU).

7. Your rights (GDPR Art. 15–22)

You can request: access to your data, correction, deletion, restriction of processing, portability (machine-readable export), and objection to processing. Email support@fleetkeur.com with subject line GDPR request and we’ll respond within 30 days. You can also lodge a complaint with the Dutch DPA (Autoriteit Persoonsgegevens).

8. Cookies

Fleetkeur sets one essential cookie (session ID for the pilot intake form) and no analytics or advertising cookies. We do not use Google Analytics, Facebook Pixel, or similar trackers.

9. Changes

We’ll update the “Last updated” date at the top of this page when we change anything. Material changes (new processors, new categories of data) will trigger a notification email to active pilot/customer accounts at least 30 days before they take effect.
